Reports to: Assistant Head of School for Academics / Dean of Faculty

Salary: Annual compensation is competitive, ranging from $110,000 to $125,000, and will be commensurate with experience.

Job Summary:

The Registrar manages the lifecycle of academic data, from enrollment and course
scheduling to grading and state reporting. This role is the primary administrator for
the Blackbaud Student Information System (SIS) and ensures the accuracy of
transcripts, schedules, and graduation requirements while supporting the College
Counseling and Athletics departments.

Core Responsibilities

1. Database And Systems Administration (Blackbaud)

Annual Rollover: Manage the year-to-year transition in Blackbaud, including setting enrollment years, marking period dates, and gradebook settings.

Access Control: Manage global gradebook permissions, student/parent portal visibility, and faculty system access.

Scheduling: Plan master class schedule, coordinate room assignments, enter new mentor/cohort groups, and create the master room usage matrix.

System Maintenance: Enter and maintain accurate information for school staff, students, and parents.

2. Grading And Academic Reporting:

Reporting Cycles: Lead the setup for Q1–Q4 and Semester grading periods, including comment translation documents and report card templates.

Outcome-Based Grading (OBG): Partner with teachers to gather and enter updated "skills" for gradebooks and ensure skill assessment data is captured for reporting.

Transcript Management: Maintain high-integrity transcripts for transfer and Study-away students; upload updated records to Parchment and Scoir.

Quality Control: Run regular audits for missing or incomplete grades (INC) and finalize GPA calculations for academic and athletic honors.

3. Specialized Program Support

Immersives: Manage rosters, schedule orientation meetings, and ensure UC approval for new courses via the annual publishing deadline.

College Counseling Liaison: Provide Senior Snapshots and updated transcripts to the College Counseling office immediately following schedule changes or grade finalization.

Athletics Compliance: Process athletic rosters as classes and report varsity player GPAs to the NCS/CIF awards sites.

4. Compliance And External Reporting

Regulatory Filing: Prepare and file the state Private School Affidavit.

Surveys And Data: The registrar helps to complete surveys. This list includes (but is not limited to) the US Census PSS, NAIS DASL survey, and CAIS/Cal-ISBOA annual survey data (including attrition and diversity stats). Other surveys come and go! 

Communication: Coordinate with the Communications department for parent notifications regarding report card availability and regional email lists.

5. Collaborate with the Assistant Head of Academics / Dean of Staffulty:

The registrar and ASHOSADOF work closely together as thought partners for new projects and/or initiatives as needed to help support the faculty as they continue to iterate the academic program.
 

Required Skills And Qualifications

  • Bachelor’s degree required.
  • Technical Expertise: Advanced proficiency in Blackbaud (K-12) or a similar SIS isEssential, as well as proficiency with Google suite and Microsoft Excel and Word.
  • Calendar Management: Ability to manage a complex 12-month cycle with rigid deadlines (e.g., UC course approval, state filings).
  • Attention to Detail: Precision in managing complex grading scales (OBG) and transcript notations.
  • Communication: Ability to guide faculty through grading procedures and collaborate with Deans on student status reports.
  • A sense of humor and an ability to stay positive and solution-focused when things go awry is also a most welcome trait.

Key Annual Deliverables:

  • August: Faculty/Room Matrix and UC Course Approval.
  • September: Private School Affidavit and DASL Survey completion.
  • January/June: Semester GPA calculations and Parchment/Scoir uploads.
  • Spring: Immersive program registration and Curriculum Guide updates.
